DanBooks ("we," "us," or "our") is a product of Clark Seed LLC, based in Idaho Falls, Idaho. This Privacy Policy explains what information we collect when you use DanBooks.ai, how we use it, and your rights regarding your data. By using DanBooks, you agree to the practices described here.

1 What We Collect

We collect information you provide directly and information generated through your use of the service:

  • Account information โ€” your name, email address, and business name when you register.
  • Company profile โ€” business address, phone number, logo, and branding preferences you enter in Settings.
  • Financial transaction data โ€” bank transactions imported via your Plaid bank connection, including date, merchant name, amount, and category.
  • Invoice and billing data โ€” invoices you create, including customer names, line items, amounts, and payment status.
  • Customer records โ€” names, contact details, and notes for customers you add to DanBooks.
  • Usage logs โ€” standard server logs including IP address, browser type, pages visited, and timestamps. Used for security and debugging.

2 How We Use Your Data

  • To provide DanBooks bookkeeping features โ€” categorizing transactions, generating reports, and managing invoices.
  • To power AI-assisted categorization and insights within the platform.
  • To send you invoices, payment confirmations, and product updates (only if you opt in).
  • To improve the product โ€” we may analyze anonymized, aggregated usage patterns.
  • To comply with legal obligations and protect our legitimate business interests.

๐Ÿšซ We never sell your data to third parties. Your financial data is never used for advertising, profiling, or resale. Period.

3 Bank Data (Plaid)

DanBooks connects to your bank accounts through Plaid, a trusted financial data platform. When you link a bank account, Plaid authenticates you directly with your financial institution using your existing credentials โ€” DanBooks never sees or stores your online banking username or password.

Once connected, we import your transaction history and store it on your behalf within DanBooks. This data is used solely to provide bookkeeping services to you.

Plaid's own privacy practices also apply to your data. You can review Plaid's Privacy Policy at plaid.com/legal/privacy-statement. You can disconnect your bank at any time from DanBooks Settings โ†’ Bank Connections.

4 Payment Processing (Stripe)

DanBooks uses Stripe to process subscription payments. When you enter payment information, it goes directly to Stripe's servers โ€” DanBooks never stores, sees, or logs your full card number, CVV, or bank account details.

We receive only a Stripe customer ID and subscription status from Stripe. Stripe's Privacy Policy is available at stripe.com/privacy.

5 Data Security

  • Encryption at rest โ€” your data is stored in encrypted databases using AES-256 encryption.
  • Encryption in transit โ€” all data transmitted between your browser and our servers is encrypted via TLS/HTTPS, enforced through Cloudflare.
  • Access controls โ€” DanBooks uses role-based access control so only authorized users in your organization can access your data.
  • Two-factor authentication โ€” we support TOTP-based 2FA for your account (optional, but strongly recommended).
  • Credential security โ€” passwords are hashed using bcrypt before storage. We never store plaintext passwords.

While we take reasonable measures to protect your data, no system is 100% secure. If you discover a security vulnerability, please report it to [email protected].

6 Your Rights

You have the following rights regarding your data:

  • Access โ€” view all data stored in your DanBooks account at any time.
  • Export โ€” download all your data as a JSON file from Settings โ†’ Data & Privacy โ†’ Export All Data.
  • Correction โ€” edit or correct any information stored in your account.
  • Deletion โ€” permanently delete your account and all associated data from Settings โ†’ Data & Privacy โ†’ Delete Account. See Section 7 for data retention details.
  • Portability โ€” your exported data is provided in a standard JSON format compatible with spreadsheet applications.

7 Data Retention

We keep your data for as long as your account is active.

After you cancel your subscription or delete your account, your data is retained for 90 days before permanent deletion. This gives you a window to recover your account if you change your mind, and time to export your records before they are gone.

โš ๏ธ IRS Record-Keeping Reminder: The IRS generally recommends keeping business financial records for at least 7 years. We strongly recommend exporting your data before cancelling your DanBooks subscription. Use Settings โ†’ Data & Privacy โ†’ Export All Data.

Backup systems and logs may retain data for up to an additional 30 days after permanent deletion.

8 Not Tax or Legal Advice

โš ๏ธ Important: DanBooks is bookkeeping software โ€” it is not a CPA, tax advisor, accountant, or financial planner. Nothing generated by DanBooks constitutes financial, tax, or legal advice. Always consult a qualified tax professional or CPA for tax filing, compliance decisions, and financial planning.

9 California Residents (CCPA)

If you are a California resident, you have specific rights under the California Consumer Privacy Act (CCPA):

  • Right to Know โ€” you may request disclosure of the categories of personal information we have collected about you and the purposes for which we use it.
  • Right to Delete โ€” you may request deletion of your personal information, subject to certain exceptions.
  • Right to Opt-Out of Sale โ€” we do not sell your personal information to any third parties. There is nothing to opt out of.
  • Right to Non-Discrimination โ€” we will not discriminate against you for exercising any of your CCPA rights.

11 Changes to This Policy

We may update this Privacy Policy from time to time. Material changes will be communicated via email or a notice within the DanBooks application at least 14 days before taking effect. The "Last updated" date at the top of this page will always reflect the most recent version.
